Are you an Advisor or Career Coach, Project Manager or Strategist, Recruitment Administrator, Talent Expert or an Experienced Generalist? For our client, one of the largest and successful International Law Firms in Brussels, we are looking for an HR Coordinator/Officer on a temporary basis, where you can expect to utilize and develop your skills across every aspect of human resources and talent management.


THE ROLE

As a member, you are tasked with helping the firm translate the business strategy into talent imperatives that deliver on the strategic vision of profitable growth, engaged people and outstanding client relationships.

The role holder will provide operational support on day to day people matters, will be responsible for advising on and managing key human resources processes and supporting the successful delivery of human resources services at all stages of the employee lifecycle.

The role holder will also be expected to work with the wider HR team to help drive forward the global and regional people agenda through participating in HR projects and programs.


OPERATIONAL

  • Maintain the relevant People data sources
  • Review monthly audit reports and take action where necessary
  • Build and develop relationships with other Business Support functions, identifying process improvements and efficiencies where necessary
  • Work closely with HRSS to ensure accuracy and efficiency in our operational processes
  • Contribute to projects as required
  • Keep up to date with external trends and best practice in HR, proactively sharing with the team
  • Follow-up Newcomers-Leavers lists
  • Preparation review meeting pack and follow-up
  • Update the lists and registrations at Brussels Bar and drafting stage contracts
  • Draft contracts, confidentiality agreements, self-billing agreements, …
  • Organise trainings
  • Coordinate photo shoot
  • Health insurance data follow-up and ordering/ renewing subscription public transportation
  • Ordering meal vouchers, Eco-cheques, Sport & Culture cheques
  • Organise Wellness Fair once a year

RECRUITMENT

  • Support stakeholders with drafting business cases for hiring requests
  • Maintain the Recruitment System, ensuring roles are logged appropriately and presented in a timely manner to the Recruitment Authorization Committee (RAC)
  • Work with the Recruitment Team on candidate offers and lead the onboarding process
  • Organize and present the office induction
  • Meet and greet new joiners, conducting the necessary work permit checks
  • Oversee work experience
  • Conduct first stage and following up of probation reviews where required

RELATIONS

  • Be the contact for all policy related queries, ensuring advice is applied in a commercial and practical way
  • Conduct investigations for disciplinary and grievance processes in line with relevant policies
  • Assist with the drafting of all correspondence relating to formal processes
  • Advise on employee relations and escalating to the HR Director if necessary

OTHER

  • Ensure the timely launch and successful delivery of the performance evaluation process and participation in the evaluation process
  • Contact for evaluation queries and evaluation system training
  • Assist with departmental moderation meetings
  • Manage communications with the relevant support teams abroad in terms of process and outputs relating to the annual review processes
  • Collaborate with the mobility team with visa applications
  • Manage HR aspects of client secondments as required


CANDIDATE PROFILE AND SKILLS

  • Bachelor’s or Master’s degree, ideally in Human Resources or equivalent experience
  • Minimum 5 years’ experience in Human Resources: Career Coach, Recruitment Administrator, Talent Expert, Experienced Generalist or Project Manager
  • Professional services experience; ideally experience in a law firm
  • Excellent communication skills – written and oral – in English and French or Dutch
  • Excellent It skills and ability to learn new systems
  • Excellent communication and interpersonal skills, with the ability to build relationships at all levels with a strong client focus
  • Self-motivated and excellent attention to detail, high levels of integrity and ability to balance confidentiality with duty of care
  • Strong work ethic and initiative taker
  • Team player, effective time management and prioritization skills, along with the ability to meet deadlines under pressure
