We are currently recruiting an Executive Assistant for one of our clients, a law firm located in the centre of Brussels.
The Executive Assistant plays a key role in supporting partners by ensuring the smooth day-to-day operation of their professional activities. The position requires autonomy, discretion, and proactive problem-solving, with a strong focus on efficiency and service quality. The successful candidate will be trusted to manage sensitive information and operate with a high level of professionalism at all times.
Your Tasks and Responsibilities:
- Coordinate calendars, appointments, and business travel arrangements
- Oversee the preparation, organization, and maintenance of legal documentation
- Record and monitor timesheets
- Review and submit expense claims
- Arrange and manage conference calls and international telephone communications
- Open and maintain client and matter files
- Develop presentations and professional materials using Microsoft Office tools
- Plan, organize, and support meetings and internal or external events
- Assist with the coordination of seminars and professional gatherings
- Ensure accurate filing and classification of documents in line with firm procedures
Your Profile:
- Demonstrated background as an executive, management, or legal assistant within a law firm or comparable professional services environment
- Excellent command of English (both written and verbal); strong knowledge of French is highly desirable, with German considered an asset
- Proven ability to manage multiple priorities in a fast-paced and demanding setting
- Strong organizational and planning capabilities
- Confident communicator, comfortable interacting with stakeholders at all levels
- Self-motivated, reliable, and able to work both independently and collaboratively
- Practical mindset with strong judgment and attention to detail
- Adaptable and flexible approach to work
- Proactive, solutions-oriented attitude
- Advanced proficiency in Microsoft Office applications
