For our client, one of the largest and successful Property companies, we are looking for Property Management Assistant, who will provide administrative, operational and customer support:

THE ROLE

  • Close collaboration with the Property Managers and assisting in agenda, planning, phone
  • calls, meetings, preparation of various files
  • Close contact with various internal departments: service desk, commercial, legal, accounting
  • Being the contact person for clients and service providers
  • Preparation and follow up of purchase orders and sales files (in SAP)
  • Follow-up of orders, invoicing in SAP, and workflows in the internal systems
  • Monitor the agreements’ validity and leaseholder’s obligations
  • Maintenance of management files & analytical databases
  • Administrative support and follow-up of legal files
  • Follow up the rent increases and indexation
  • Follow up of complaints in collaboration with our Service Desk
  • Proactive collaboration on improvement of our services (both internal and external)

PROFILE

  • You have a Bachelor or Master’s degree in economics, real estate or facility management
  • You have ideally 3-5 years’ experience in management support, and have the motivation to build a career in property management
  • You have ideally basic legal knowledge and knowledge of insurances, leases, contracting,…
  • You are proficient in MS OFFICE: Word / Excel /PowerPoint /Outlook – SAP and SharePoint are a plus and have the ability to learn new systems
  • Excellent communication skills – written and oral – in English and Dutch (C-level), good knowledge of French or any other language is an asset
  • You are multitasking, proactive, efficient and customer oriented
  • You are detail oriented, hands-on and have the sense of responsibility
  • You have excellent time management and communication skills
  • You are adaptable, creative and a team player
